JOB SUMMARY
We are seeking an Administrative Coordinator(Clinician Onboarder) to onboards APP's and physicians for the Duke Health Integrated Practice (DHIP) in partnership with Duke's academic departments. The position requires diplomacy, attention to details, and the ability to succeed by providing timely service in a highly matrixed environment with competing deadlines and complex tasks. Healthcare regulatory/licensing knowledge is an advantage in this position. The coordinator partners with the director, colleagues, department contacts, and other stakeholders to assist with the growth of programs and projects for highly efficient onboarding and offboarding processes that successfully relocates, orients, and integrates new providers into the practice, hospital system and broader community of Duke Health.
JOB DUTIES AND RESPONSIBILITIES
- Identify essential tasks and stakeholders within departments involved in the onboarding and offboarding of Advanced Practice Providers and Physicians including credentialing, 3rd party enrollment, marketing, IT, practice management, and benefits. Communicate changes in start dates or anticipated issues. Present collaborative solutions to colleagues and leadership. Serve these constituents as an expert on global onboarding policies and procedures for newly hired clinicians, to division staff, department staff, and other Duke Department contacts.
- Establish highly effective working relationships with internal customers, organizational leaders, and onboard stakeholder departments to skillfully coordinate onboard activities. Serve as a liaison and build relationships with newly hired clinical providers to the onboarding process which includes familiarizing the new provider to the organization, mission/values, benefits, contacts, and Duke Resources.
- Exhibit a welcoming, customer service focused attitude in all interactions with Duke internal and external clients. Perform periodic "check ins" with new Advanced Practice Providers and Physicians throughout their onboarding process to ensure they are familiar with Duke, their sites, processes, and timelines. Send out surveys to new members at 90-days and 6-month post hire; analyze results and share concerns with leadership for program development. Schedule regular meetings with department contacts to report on onboarding activities and any identified shortfalls or successes. Ensure director and leadership are aware of hurdles.
- Seek out innovative ideas and best practices in onboarding for team discussions to incorporate them into the organization's onboarding efforts. Collaborate with manager to ensure onboarding resources are continually updated including forms, websites, onboarding resources, and other department material.
- Complete monthly onboarding activity reports on assigned providers and assist with other departmental reports as needed.
- Assist colleagues with planning and managing the on-site monthly New Clinician Orientation.
- Rotate with colleagues in presenting PowerPoint Zoom or in-person program updates and training to Duke departments and cross team colleagues.
- Assist new Advanced Practice Providers and Physicians with information on relocation, realtors, and mortgage co/banks who provide Duke discounts. Proactively identify opportunities for their family to become established and engaged in the community by sharing community and school resources.
- Assist with social events, group training, and other initiatives (monthly newsletter, onboarding committee meetings, new member orientations, etc.).
JOB ELIGIBILITY REQUIREMENTS
- Work requires a general business background generally equivalent to a bachelor's degree in a business related field.
Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.
A master's degree in a business related field may be substituted for 2 years experience.

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
