Position Summary:
Ready to make an impact with your organizational skills? As an Events Coordinator at Delta Defense, your impact will span event planning, managing logistics, and handling administrative tasks for various events.
You will engage directly with members and prospects, creating memorable experiences throughout the year. Excellent customer service skills are a must, and you'll need to be agile as this role requires the ability to work flexible hours, including evenings and weekends, based on event schedules.

Essential Duties and Responsibilities:
- Manage event documentation, including the company Event Calendar, Executive Summaries, and the Events Scorecard.
- Provide on-site support during events, from pre-planning to load out, ensuring accuracy, professionalism and consistent brand representation.
- Coordinate supplies, packing lists, and shipments to ensure materials arrive at events on time and are promptly returned, inventoried, and stored.
- Collect after-event feedback and use the insights to improve the event planning process and help inform future executions.
- Execute booth set-up and tear-down as needed.
- Organize and track event material inventory (onsite and external storage).
- Facilitate staff registrations, housing, food, and travel arrangements.
- Communicate with internal and external stakeholders to determine event details and requirements, goals, and requests.
- Create and maintain internal communications.
- Coordinate meetings for planning and execution of events.
- Assist with contracts, budget management, reconciliation, and invoicing.
- Maintain a professional attitude and appearance as you represent the USCCA brand.
- Sell USCCA memberships at annual nationwide events.
Skills/Abilities/Experience and Education Requirements:
- High school diploma or GED.
- Bachelor's degree in business, marketing, events, or related field, or equivalent experience.
- At least 2+ years of experience in event planning and execution.
- Required to pass and maintain Producers Property and Casualty License. Paid training is provided for all hires.
- Sales-oriented professional with the ability to work independently or as part of a team.
- Ability to travel up to 50% throughout the U.S. and work outside traditional office hours.
- Experience with event contracts.
- Experience working in a highly collaborative role with multiple stakeholder groups.
- Proven ability to communicate and work effectively with a diverse range of people at all levels and functions of the organization.
- Detail-oriented, proactive problem solver with excellent verbal and written communication and conflict-resolution skills.
- Ability to exercise tact and discretion in dealing with the public.
- Proven ability to self-direct and be resourceful.
- Skilled at working in a fast-paced, dynamic environment and on multiple projects simultaneously.
- Ability to work under pressure and meet deadlines.
- Proficient in Google Suite/Microsoft. Expertise with Google Sheets/Microsoft Excel.
- Demonstrates the Core Values of Delta Defense, LLC.
Location and Travel:
- This position is based at our corporate headquarters in West Bend, Wisconsin.
- Ability to travel up to 50% of the time (U.S. only). This role requires domestic travel on average 1-2 times per month with duration usually not more than 1 week at a time; subject to change based on the calendar and event requirements, with some work outside of traditional office hours. All travel accommodations are paid for by the company.
Physical Demands:
- Must be able to work on your feet for extended periods of time. Must be able to regularly lift up to 50 pounds.
